English version
Conclusion. Equipment is usually calibrated annually. The question is how equipment condition is assured during the year between calibrations, and that is what intermediate checks address. The logic is that calibration establishes accuracy at a point in time, while equipment drifts, suffers knocks and changes with the environment, so between calibrations some means is needed to confirm the equipment remains acceptable. For a client this matters because your data were produced at some point between calibrations, and if the equipment had already drifted by then the data are biased; and because if the next calibration finds the equipment out of tolerance, a traceback is needed to determine whether data from the intervening period were affected, with the intermediate check records determining how far back that traceback reaches.
Intermediate checks against calibration. Calibration establishes values and states deviations, while intermediate checks confirm that condition has not changed appreciably. Calibration is performed by an accredited calibration body, intermediate checks in-house. Calibration follows a cycle, usually annual; intermediate checks occur as needed, usually more often. Calibration provides a traceability chain, intermediate checks do not. Calibration produces a certificate and correction values, intermediate checks a judgement of whether the equipment is in control. And calibration uses reference instruments and defined procedures, while intermediate checks use check standards, comparison and repeated measurement. Intermediate checks cannot replace calibration, providing no traceability and only confirming that condition has not changed noticeably.
Which equipment needs checking. Not all of it does, and the judgement rests on several factors. Equipment of poorer stability drifts readily. Frequently used equipment has more opportunity for wear and change. Equipment in harsh environments faces temperature, humidity, vibration and corrosion. Mobile equipment covers portable instruments used on site. Equipment with a history of faults or out-of-tolerance findings warrants attention. And equipment with substantial influence on results, meaning key measuring instruments, warrants it too. Portable equipment used away from the laboratory deserves priority: vibration and impact in transport affect its condition, and such equipment is often used on site where problems are not readily noticed.
Methods of intermediate checking. Check standards involve periodic measurement of a stable physical artefact to see whether results remain in control. Inter-equipment comparison compares like instruments against one another. Method comparison measures the same object by methods of different principle. Retained-sample re-measurement repeats measurement on a stable sample. Functional checking examines key functions. And key parameter verification spot-checks particular parameters. Check standards are the most common approach, and the crux is that the check standard itself must be stable, since a drifting check standard renders the check meaningless.
Judgement and records. Acceptance criteria must be set in advance, defining what counts as in control. Trends must be watched, since results that remain in control while drifting steadily in one direction are an early warning. Records must be complete, covering date, check standard, result, judgement and operator. And action on exceeding the criteria covers withdrawal from use, investigation and, where needed, early recalibration. Watching trends is more valuable than single-point judgement: several consecutive checks moving monotonically indicate drift and deserve attention even before the criteria are exceeded.
Traceback when a problem is found. This is the part that bears directly on client data. Establish the starting point, being the date of the last satisfactory check. List the testing performed on that equipment during the period. Assess the impact, establishing whether the magnitude of the deviation affects the conclusions. Grade the response, treating cases that affect conclusions as requiring action and others as requiring a recorded note. Notify clients where report conclusions are affected. And re-test where necessary. The extent of the traceback is set by the check frequency: checking annually means tracing back a year, checking monthly narrows it to a month. That is the practical value of frequent checking, not finding problems but limiting their reach when problems are found.
What it means for clients. Asking about check arrangements is reasonable, particularly for items sensitive to measurement accuracy. Calibration validity is worth attention and, while not usually stated in reports, can be asked about. And a traceback notification should be understood as the quality system working. Receiving a traceback notification is not a bad sign: it shows the laboratory found a problem and assessed its impact proactively, which is better than never checking and so never finding anything.
How we handle it. We perform periodic intermediate checks on key equipment, with frequency set by stability and intensity of use, and retain the records. We watch trends rather than only single-point judgements, arranging early calibration or servicing where results move consistently in one direction even while in control. Where a check exceeds the criteria we trace back the testing performed during the period, assess the impact and notify clients proactively where report conclusions may be affected.
